RS&H is seeking an experienced AEC Billing Manager to join our awesome team. This position is hybrid in a major RS&H location (Denver, CO, Dallas, TX, or Houston, TX).
This role is responsible for the direct oversight and management of the project initiation and accounts receivable processes. This role is responsible for ensuring an engaging work environment, focused on driving quality results and supporting business objectives. This role has direct and regular interactions with leaders across the firm, demonstrating strong relationship-building skills and a customer-focused mindset.
Essential Functions:
- Overview and manage project initiation, accounts receivable and billing operations.
- Ensure timely and accurately created projects, phases, and tasks, while maintaining accounting standards and company policies
- Track and analyze receivable metrics, such as invoice aging, payment status, and revenue recognition. Prepare detailed reports for senior management to provide insights into performance, identify trends, and recommend improvements to optimize cash flow and financial reporting.
- Oversee and manage billing operations. Ensure timely and accurate preparation, review, and submission of invoices to clients, while maintaining compliance with company policies and industry regulations, including Federal Acquisition Regulation (FAR).
- Works closely with leaders across the controllership, finance, and project teams to ensure successful achievement of team, business unit, and firm-wide objectives.
- Provides supervision and direction to the team. This includes responsibility for setting team members' performance objectives, as well as participating in performance reviews and recommending pay decisions.
- Creates an engaging and empowering work environment for the team, including communicating clear expectations and providing effective performance feedback through regular meetings, recognition, rewards, coaching, and disciplinary action, when needed.
- Plans, evaluates, and improves the efficiency of business processes and procedures to enhance quality and efficiency.
- Participates in the development and management of the department budget.
- Performs all other duties as assigned.
Qualifications:
- Bachelor’s degree in accounting, finance, business, or relevant field.
- 8+ years’ experience in accounts receivable, billing or accounting, preferably in the architecture and engineering industry. At least 2 years’ experience in a leadership position within Accounts Receivable or Billing Services.
- Experience collecting or billing Architecture, Engineering, & Consulting and/or State DOT or federal contracts
- Proficiency with business software applications, including Word, Excel, PowerPoint, Outlook, Adobe and/or Bluebeam Revu PDF Software.
- Experience with Office 365 applications for productivity and collaboration such as Teams, One Note, One Drive and SharePoint.
- Strong Excel Skills, with experience using lookup functions and analyzing data with Pivot Tables.
- Possess strong organizational, prioritization, and communication skills, including the ability to effectively interact with and build strong relationships with others.
- Hands on experience setting up billing terms such as applying multipliers, overhead rates for multiple states, fixed fees, taxes, and retainage to meet the client’s invoicing requirements.
- Experience with high volume complex billing.
- Sense of urgency and ownership over work product.
- Proven ability to successfully lead a team of billing associates and address challenging and potentially controversial issues in a sound professional and business-like manner.
Preferred Qualifications:
- Experience using Deltek Vision, Deltek Vantage Point, or project-based ERP System preferred.
- Regulatory compliance experience, specifically FAR
Hiring Salary Range: $74,000 - $114,700 for this position in Denver, Colorado. The final agreed-upon compensation is commensurate with experience relative to the position and/or primary work location.
